Using Financial Modelling to Make Better Decisions

When you’re building a new school — especially one in the cloud — the most dangerous phrase you can fall into is:

“We’ll figure out the money later.”

Later is too late. Later is when you realise your dream can’t cover its own running costs. Later is when you have to scale back the very thing that made it special.

At The Novacene, we’ve learned that financial modelling has to be part of the design process from day one. And not as a static spreadsheet you glance at once a term — but as a living, interactive model you can adjust, test, and learn from.

That’s why we built the Haven financial model app.

From “I wonder if…” to a working model in a morning

The Haven Academy was already a bold idea: a trauma-informed, neurodivergent-affirming online school for 12–17-year-olds. But before we could scale the vision, we needed to answer some unromantic but essential questions:

  • How many students do we need to break even?
  • What’s the true cost difference between our core offer and our full offer?
  • How do changes in teacher salaries, platform costs, or enrolment affect our cashflow over two years?

One morning, I opened ChatGPT and described exactly what I wanted:

“An app where I can toggle student numbers, pricing, teacher pay, and platform costs — and instantly see a two-year forecast for break-even and revenue.”

By lunchtime, we had the first version running in Streamlit. By the end of the day, it was hosted and working. By the end of the week, it had helped secure my Haven contract.

The app in action

It’s simple:

  • Enter your student numbers, offer type, and pricing.
  • Set your staffing costs and platform expenses.
  • See your break-even point, profit/loss, and two-year projection instantly.

Because it’s interactive, you can play with scenarios:

  • What if you add an extra GCSE teacher?
  • What if you lower the price to attract more students?
  • What if you run an extracurricular programme on Fridays?

Why this matters

For most start-up schools and learning projects, the financial model lives in someone’s head or buried in a spreadsheet only the bursar understands. That’s a problem because:

  • You can’t test new ideas quickly.
  • Strategic decisions are based on guesswork, not data.
  • Staff and partners don’t have a shared, visible picture of the financial reality.

By making the model transparent, interactive, and accessible, you:

  • Empower the whole leadership team to make informed decisions.
  • Test “what if” scenarios in real time.
  • Spot problems before they turn into crises.

From Haven to the network
